The real-time chatbot in AI-Public can now use tools during a conversation. This allows you to ask current questions and have information looked up when it is needed.

Internet search is automatically available in all environments. The chatbot can use OpenAI’s native internet search function to look up current information and incorporate it into its response.

The user guide search function also works automatically in the background. As a result, questions about how AI-Public works can be supported with relevant information from the user guide.

In addition, when relevant, the chatbot can search through your own previous chats. This feature only works within your own chat history, in the same environment and within the configured retention period.

Administrators can also choose to make weather information, Wikipedia and Wolfram Alpha available. This can be useful, for example, when planning a meeting, checking background information or carrying out calculations and analyses.

Gemini 3.6 Flash: fast and versatile​

Gemini 3.6 Flash is Google's quality model for work where both speed and a strong answer matter. It is suitable for research, clear explanations, feedback on texts and tasks involving image input.

Use this model, for example, to interpret information from a document or image, improve a draft for public communication or work through a complex question step by step. The model also supports reasoning and tools. Compared with a lighter Flash variant, it offers more capacity for tasks that require additional care and substantive quality, while remaining a cost-effective choice.

Gemini 3.5 Flash-Lite: efficient for everyday tasks​

Gemini 3.5 Flash-Lite is the cost-effective Gemini variant. This model is particularly useful for common tasks that need to be completed quickly, such as explaining concepts in plain language, translating, providing initial feedback and handling simple image-based tasks.

Its successor offers a strong balance between speed, useful quality and low costs. This makes Flash-Lite well suited to creating variations of short texts, simplifying internal information or preparing accessible answers for residents and other target audiences.

Claude Opus 5: for the most complex questions​

Claude Opus 5 is the updated version of the most comprehensive Claude model in AI-Public. This model is intended for tasks where high quality and careful reasoning are more important than speed or cost.

Choose Claude Opus 5, for example, for an in-depth analysis of policy documents, developing a complex advisory question, structuring large amounts of information or critically reviewing an important draft text. Compared with the previous Opus version, version 5 is the latest top option within Claude for demanding work of this kind.

• Choose Gemini 3.5 Flash-Lite for fast, affordable everyday tasks, such as translating, explaining and providing simple feedback.
• Choose Gemini 3.6 Flash if you want to combine speed with higher quality, image input, tools or reasoning.

You can switch language models using the model selector next to an answer in the chat. This allows you to decide for each question which balance between speed, quality and cost best suits your needs.

Whether you are writing policy documents, answering questions from the public or analysing complex documents, a dedicated AI assistant can save you a great deal of time. Until now, you had to configure such an assistant manually using system instructions, model selections and the right tools. With the new Create assistant with AI feature, that is now a thing of the past.

When you go to Assistants in the menu, you will find the new Create assistant with AI button at the top. Clicking it starts a short, smart workflow. Simply enter a name and a brief description of what the assistant should do – for example: "An assistant that checks texts for B1-level language for municipal communications."

AI-Public will then immediately generate a complete proposal. This proposal includes a suitable name, an effective system instruction (system prompt), an appropriate initial user question and the right settings, such as the language model and useful features like internet-enabled search. You can review the proposal, make any manual adjustments and save it. Once saved, your new assistant is immediately ready to use for testing or getting to work.

This update helps public-sector professionals build tools for their daily tasks even more quickly and effectively. You remain fully in control, while the technical configuration is taken care of for you.

The three models are optimized for different types of work:

It is ideal for automating tasks outside the app with the many integrations n8n has to offer.

Suppose your organization uses an n8n workflow that publishes approved news items directly to your municipal website or intranet. In AI-Public, you now only enter a short idea or a few key points about a new policy initiative or project. You then start the n8n workflow. Behind the scenes, a language model turns it into an accessible, clear text in your organization’s tone of voice, a suitable image is generated, and the post is immediately ready as a draft in your content management system.

When a workflow requires specific input, AI-Public first opens a clear form. After filling in the fields (such as text, numbers, or a date), this information is securely sent to n8n via a protected webhook as a JSON package. Does a workflow not require any additional input? Then the action starts immediately with the press of a button from the workflow overview.

Administrators can easily register n8n workflows within the app. To do so, go to Assistants, open Workflows, and choose New n8n workflow. After entering the name, the n8n production URL, and the required header security, the workflow is immediately ready for use by your team.

To make it easier to store generated texts, policy notes, or public information in the right place, AI-Public is introducing Connections with online folders. This lets you easily connect the app to Google Drive, OneDrive, or SharePoint.

When the connection is active, you no longer need to first download files locally and then move them manually. You can now upload documents directly from the File Management section or the document viewer in AI-Public to a preselected cloud folder. This saves time and helps archive working files centrally and securely right away within your organization’s existing folder structure.

Setting up a connection is easy. In AI-Public, go to Preferences and choose Connections with online folders. Click Add connection and select the desired cloud storage. Using the built-in folder picker, you then select the specific destination folder. You can set up multiple connections side by side and choose which folder will be the destination for each upload.

Log in to AI-Public, go to your Preferences, and connect your online work folders today to work faster and more efficiently right away.

Administrators can now invite new users and help them find their way around AI-Public even more easily.

Administrators can now send a personal welcome email immediately when creating employees, or at a later time via the employee list. In this email, employees receive their login details and a clear explanation of the platform. The action button in the employee overview also makes it easy to keep track of the sending status and the content of the emails that have been sent.

In addition, as an administrator you can now set up a mandatory onboarding video via the Onboarding tile in the admin environment. New users will see this video during their first sign-in and can only continue after they have watched it in full. This is ideal for immediately introducing employees to guidelines for confidential data use, municipal policies, or practical basic tips for writing clear public-facing communications.

Edit and generate documents directly via the desktop app

Where you previously had to upload documents manually, the desktop app can now read and write files directly on your computer. This makes it possible to edit Excel files, work on Word documents, and generate PDF reports directly in a local folder of your choice. Files that require conversion, such as .docx or .xlsx files, are processed automatically and in the background by the application.

You can easily set up this feature in the desktop app settings. Under Settings -> Local files, add the desired folder once. From that moment on, AI-Public can analyze and edit files within this folder, ensuring a faster workflow and optimal control over your local document management.

New models are now available in AI-Public to help you work even more efficiently and accurately within the public sector. The main addition is the new model for the transcription module: gpt-4o-transcribe-diarize.

This model automatically recognizes when a different speaker is talking. This makes transcribing interviews, public participation meetings, or discussions with colleagues much more manageable. The text is immediately divided by person (for example, Speaker A and Speaker B), significantly reducing the time you spend manually editing conversation reports. The improved transcription with speaker recognition is applied automatically when you start the transcription module for your audio recordings.

In addition, we have added Gemini 3.5 Flash to the range of language models. This model is specifically designed for speed and efficiency. It is ideally suited for tasks where you need immediate results, such as generating short text suggestions for public communication, quickly summarizing incoming correspondence, or answering factual questions during your work.

With the Free input option, you create a document based on a prompt. This gives you maximum freedom in structure and content. It is the ideal choice for developing an initial draft of a policy document, an internal memo, or a creative outline for a project plan. AI-Public helps you define the structure, while you remain fully in control.

In addition, AI-Public now supports working with Templates. These are specific formats that have been prepared by your own organization. Think of official resident letters, standard reporting formats, or records. By choosing a template, you can be sure that the document immediately complies with the correct corporate identity and organizational guidelines. The AI fills in the required fields, after which you can download the result directly as an editable file.
