Gmail Integration

The Gmail integration gives the AI assistant read-only access to your Gmail mailbox. This lets you search, read and summarize emails. The integration cannot send emails, create drafts or change messages.

Requirements

  • Your administrator has made Google Workspace and the Gmail integration available for your environment.
  • You are allowed to use integrations in your environment.
  • You have a Google account with access to the mailbox you want to use.
  • You choose an available AI model that can use tools. The integration is not limited to OpenAI.

Available functions

FunctionDescription
google_account_profileRetrieves the profile of the linked Google account
gmail_search_emailsSearches emails using Gmail search syntax (up to 25 per search)
gmail_read_emailReads one email in full
gmail_batch_read_emailsReads up to 25 emails at once
gmail_read_threadReads a complete email conversation

Usage examples

Searching emails

  • "Find emails about last month's tender"
  • "Which unread emails do I have from today?"
  • "Find emails from the Communications department with an attachment"

Reading emails

  • "What does the latest email from the alderman say?"
  • "Summarize the email conversation about the press briefing"
  • "Which agreements are in the latest email from the project team?"

Getting started with Gmail

  1. Open your profile menu and go to Preferences.
  2. Under Tools settings → Integrations, in Provided by your organization, turn on the switch for Gmail.
  3. Sign in with your Google account and grant permission for read-only access to Gmail.
  4. Start a chat and ask your question. Gmail is now available in your chats by default.

You can also click Gmail in the Tools block on the dashboard. You will then sign in to Google if needed, and a chat with this integration starts immediately.

Privacy and security

The Gmail integration only requests read access:

  • ✅ Search and read emails
  • ❌ No sending emails
  • ❌ No creating drafts
  • ❌ No changing or deleting emails

Access tokens are encrypted and stored server-side only. If you turn off the last Google connection in Preferences, the connection to your Google account is removed. You can also revoke access via Google Account Security.

Limitations

  • For attachments, the AI only sees the file names; the content of attachments is not read.
  • Long emails are shortened.
  • If your Google connection has expired, Preferences shows the Reconnect button.

Use cases

  • Finding correspondence: Quickly find specific emails
  • Summarizing: Have long email conversations summarized
  • Preparing: List agreements and questions from earlier messages

Search tips

You can also use Gmail search operators in your questions:
